Converting Trial Students: Trial Lesson Follow Up

Behind the scenes: Our automatic emails will follow up on the student the DAY AFTER the “Trial Lesson Date” entered on the deal.

The student will reply to this email confirming or declining future lessons.

Reply Customer Email

  1. Reply to customer email, answering any questions they may have using the FAQ as a guide. (Remember, we can only schedule WEEKLY or FORTNIGHTLY lessons.)
  2. Email student with the “Successful Trial – Schedule Future Lessons” template below:
Hi XXX
We are glad to hear the trial went well!
Your lesson will be scheduled at the same time each XXweek/fortnightXX, 
XXDayXX at XXTimeXX.
Please let us know if you have any planned absences this term, as you will not be charged for them. Your invoice will be sent in a separate email.

Update ActiveCampaign

  1. Search for customer using customer email
  2. Open the customer’s deal, update the PIPELINE to “Active Students”. Update the STAGE to “Term 1/2/3/4” (select the term they are starting in).
  3. Remove the Trial Lesson Date from the deal.
  4. In the deal “Enrolments” boxes, tick the term the student is starting in.

Check the ActiveCampaign contact notes to see if there was another teacher that is available.

If there is another teacher available, go to Option 1: Offer Another Teacher.

If there is no other teacher available, go to Option 2: Make Inactive

    Option 1: Offer Another Teacher

     Email student Second Chance trial lesson:

    Hi XXX
     
    We are sorry to hear your trial lesson didn’t go as well as intended,
     
    Our goal is for you to find the right teacher for your needs. So we would be happy to arrange a second Half-Priced trial lesson with our teacher, XXTEACHERXX.
     
    Would you be interested in meeting XXTEACHERXX for a second chance trial lesson?
    1. Search for customer using customer email
    2. Open the customer’s deal. KEEP the Pipeline in “Trialling”. Update the STAGE to “INACTIVE”
    3. Remove the Trial Lesson Date from the deal.
    HOWEVER: If the student accepts, follow the same process from the New Enquiry Procedure (Skip ahead to the Trial Lesson Procedure)
    If the Email has been left on PENDING for more than 3 days, submit it as SOLVED.
    Option 2: Make Inactive

    Email student Second Chance trial lesson:

    Hi XXX
     
    We are sorry to hear your trial lesson didn’t go as well as intended,
     
    Our goal is for you to find the right teacher for your needs, however at this time we do not have any other available teachers in your area. 
    We are able to keep you on our waitlist until another teacher becomes available for you to meet!
     
    Please feel free to share any feedback you have, so we can continue to improve our service,
    1. Search for customer using customer email
    2. Open the customer’s deal. KEEP the Pipeline in “Trialling”. Update the STAGE to “INACTIVE”
    3. Remove the Trial Lesson Date from the deal.
