Transferring or Resigning Teachers
We offer all existing students who need a new teacher a FREE Lesson before continuing with the new teacher.
Important: We must add the “Student Notes” from the old teacher to the Student’s Teachworks account for the new teacher to prepare.
Follow this guide for the processes on:
Resigning Teacher Process
As stated in their contracts, Teachers must give us 28 days notice of their resignation.
That means, if a teacher resigns in the middle of the teaching term, they must complete their 28 days from the resignation date.
Move Teacher on AC (Kayla)
1. Open Teacher ActiveCampaign
2. Enter last teaching date into the “Resignation date” field on Teacher Contact
3. Move the deal into the “Resigning” Pipeline
4. Begin completing Resignation Tasks

Teachers with No Students

AC Tasks (Kayla)
There are Three Tasks that appear on a Teacher’s deal when they resign.
*Updated* Once you finish these 3 tasks, move the teacher to the “To Be Exported & Deleted” Stage.
1. Remove from TeacherSupport.Care
i. Visit & login to the website https://teachersupport.care/wp-admin/users.php
ii. Search for their name and/or email in top right corner and click “Search Users”
iii. Select the checkbox next to the teachers name
iv. Click on the dropdown “UM Action” and select “Deactivate”
v. Hit the “Apply” button

2. Remove from Facebook Group
i. Go to the Facebook Group & select the Members Tab
ii. Search for the teachers name, and click the button with the three dots
iii. Select “Remove member”

3. Make Inactive on Teachworks
IMPORTANT – Only complete this step once the teacher has no lessons left on the calendar to teach!
i. Filter the calendar view by the admin name to ensure there are no lessons left for the teacher to teach!
ii. Go to the Admins List
iii. Search for the teacher and select the pencil button to edit
iv. Change their status from Active to Inactive

Reassigning Students to New Teacher (Lyka)
Lyka is responsible for contacting each student by phone.

Deliver the news with positivity and professionalism.

Reassure the student that this is a natural part of their music journey.

Introduce the new teacher with confidence.
-
Offer the first lesson with the new teacher free of charge to make the transition easier.

Confirm the continuation of their scheduled lessons with the new teacher

“Starting with a new teacher can feel a little different, especially after building such a great connection with your previous teacher. It usually takes a few lessons to get comfortable and establish the same kind of rapport. We encourage you to give it around five lessons to really settle in. If after that time it doesn’t feel like the right fit, we’ll be more than happy to arrange another teacher for you.”

FIND A TEACHER
- In the Teachers AC, go to Deals.
- Select the State pipeline you’re looking for.
- Search in Tags the student’s postcode

- Find a teacher in the “Active Teachers – Taking Trials” pipeline who teaches the instrument you’re looking for

- Go to Teachworks, search for the Teacher’s Teachworks Profile
- Check the Teacher’s Availability:

- AND Check the Teacher’s Calendar in “Week” View to see where there are free lesson times.

Are no teachers locally available? Ask a few teachers from close areas if they are happy to take on a new student.
Confirm Number of Lessons Remaining

Collaborate with Brendan to calculate the number of remaining lessons on the student’s account.

Confirm that refunds are not available unless no replacement teacher exists
Collecting Student Notes
- Go to the student notes form – (click here)
- Copy student notes
- Find the student in Teachworks

- In the “Notes & Communications” select “Add Note”
- Paste the student notes in the Note Section
- Select “Office & Teachers” permission
- Submit

Standard Reassignment Script - Call
Steps:

Use the approved Phone Script – With Replacement Teacher Available.

Personalise the script to the student’s circumstances (name, previous teacher, new teacher, lesson time).

Aim to:

Positively frame the transition.

Introduce the new teacher with confidence.

Offer the first lesson with the new teacher free of charge.
-
Confirm that the student will continue with their remaining lessons with the new teacher.

Gather personal feedback about their lesson experience so far (to share with the new teacher).

Once the phone conversation is complete and the new teacher/time confirmed, send the Confirmation Email.

This email recaps the discussion in writing so the family has all details clearly documented.

If you are unable to reach the customer after attempting a phone call, send the Unreachable via Phone Email.
Phone Script – With Replacement Teacher Available.
Opening:
“Hi [Parent/Student Name], this is Lyka calling from Music Lessons Australia. I’m calling with an update regarding [Student’s Name]’s lessons.”
Breaking the news (positive framing):
“[Teacher’s Name] has recently stepped away from teaching with us. While we’ll miss them, it’s actually quite common for music students to have different teachers over the course of their journey. Each teacher brings fresh ideas and new perspectives, which is a really valuable part of learning.”
Introducing the new teacher:
“We’re excited to let you know that [New Teacher’s Name] will be taking over [Student’s Name]’s lessons. To make the transition smooth, we’d like to offer your first lesson with them free of charge.”
Reassurance:
“We’ll also be scheduling the rest of your remaining lessons with [New Teacher’s Name], so there won’t be any disruption to [Student’s Name]’s progress.”
Engagement & scheduling:
“Before we book this in, can I ask how [Student’s Name] has been finding lessons so far? What’s been their favourite part?” (listen and respond warmly)
“Great, thank you for sharing that. [New Teacher’s Name] has availability on [Day/Time]. Does that work for you? If not, we can adjust your lesson time to fit with their schedule.”
Closing:
“Perfect, I’ll confirm everything now. You’ll meet [New Teacher’s Name] in your next lesson — and I’m confident [Student’s Name] will really enjoy learning with them.”
Standard Reassignment Script - Email
After the Phone Call:
Dear [Parent/Student Name],
Thank you for taking the time to speak with me today. As discussed, [Teacher’s Name] will be finishing up with Music Lessons Australia, and we’re excited to confirm that [New Teacher’s Name] will be continuing [Student’s Name]’s lessons moving forward.
To make the transition as smooth as possible, we’ll be offering the first lesson with [New Teacher’s Name] free of charge. All of [Student’s Name]’s remaining lessons will then continue with [New Teacher’s Name], ensuring there is no interruption to their progress.
Here are the details we’ve scheduled:

Standard Reassignment Tasks
Scheduling Lessons
Once the student has been informed:
- Schedule their first lesson with the new teacher at no charge.
- Pass a note to Brendan to ensure this lesson is recorded as free.
- Immediately book in the student’s remaining lessons with the new teacher, regardless of how the first lesson goes.
- Confirm with Brendan the number of lessons pre-purchased on the account.
- Update the Reassigning sheet in the KPIs Google Sheet:
- Note that the new lesson has been scheduled.
- Tick the checkbox to confirm that the student has been reassigned.
Lesson Balance & Teacher Notes
- Collaborate with Brendan to determine the number of lessons remaining on the student’s account.
- Confirm that refunds are not available, except in cases where no teacher is available in the area.
- Collect student notes left by the previous teacher via the Google Form:
Teacher Transition Notes Form Responses - Share these notes with the new teacher so they are fully prepared for their incoming students.
Update Contact on ActiveCampaign & Teachworks
ActiveCampaign
- Navigate to the student’s contact record.
- Update the Teacher field to reflect the new teacher’s name.
Teachworks
- Open the student’s profile.
- Remove the old teacher listed under “Teacher.”
- Add the new teacher to the student profile.
Student Demands Refund & Doesn't want to continue:
Opening & active listening:
“I completely understand your concerns and I want to make sure this is handled properly.”
Policy reminder:
“As per our studio policy, refunds are only offered in cases where we cannot provide a teacher. Since [New Teacher’s Name] is ready to continue lessons, we’ll be moving forward with them so [Student’s Name]’s progress continues uninterrupted.”
Escalation:
“That being said, I want to make sure your situation is properly reviewed. I’ll need to speak with our manager, about your request for a refund ee if an exemption can be made due to your circumstances. I’ll get back to you as soon as possible.”

If There Is NO Replacement Teacher Available - Email
1. Email below template / Macro “Transferring Students – NTIA”
Hi XXX,
Hope you’ve been well,
We are sorry to have to tell you that XXOldTeacherXX will no longer be teaching after your lesson on the XXLastLessonDateXX.
We are still looking for a new teacher to take over where XXoldteacherXX is leaving off.
As per our policy, we don’t usually offer refunds once lessons have been purchased. However, in cases like this, when we’re unable to provide a teacher, we will refund the remaining lessons. I’ll pass this along to our accounts manager, Brendan, who will finalise the refund.
We’re very sorry we couldn’t provide a continuation at this time, but we’d love to welcome you back in the future as soon as we have a teacher available in your area.
Student discontinuing 🙁
Refunds (Exceptional Circumstances Only)

Refunds are only processed if no teacher is available in the area or no mutually suitable lesson time can be arranged.

Lyka should notify Brendan, who will handle the refund with Kayla’s approval.

In extraordinary cases where a student demands a refund despite having a replacement teacher, Lyka should escalate to Kayla for review.
